Case Study

EventTitans Powers HIMTEX 2026
at HITEX Hyderabad

HIMTEX 2026, the 9th edition of the Hyderabad International Machine Tool & Engineering Expo, ran across five days at the HITEX Exhibition Centre in Hyderabad. EventTitans supplied the registration, badge printing and check-in technology that moved trade visitors from the gate to the show floor.

A Five-Day Manufacturing Show, Run Gate to Floor

HIMTEX brings India's manufacturing base into one venue — machine tools, aerospace, defence manufacturing, electrical and electronic, pharma, chemical, automation and robotics, the auto sector, and infrastructure, real estate and construction. Alongside the exhibition floor, the 2026 edition ran buyer-seller meets, roadshows at the industrial cluster, an Innovation Arena and the DiFact Pavilion.

A show of that shape puts its pressure on the entrance. Trade visitors arrive in waves, most of them registered online days earlier, and every one of them needs a printed badge before they reach a stand. EventTitans took that entire path — online registration, verification, badge generation and gate check-in — and ran it as one system.

Registration and Badging in One Flow

Visitors registered online ahead of the show and arrived with a QR code. At the counter that code was scanned once: the platform matched the record, applied the correct visitor category and released the badge to the printer. There was no re-keying at the desk, and walk-ins who had not pre-registered were captured on the spot and printed through the same flow rather than a separate queue.

TBD METRICS: number of registration counters and printers deployed, average badge issue time, and peak-hour throughput on the busiest day. Supply measured figures only.

Organisers watched the same data live. Registration volume, category split and cumulative check-ins were visible on a real-time dashboard through all five days, so staffing at the gate could follow the actual arrival pattern rather than a forecast.

Visitor Categories, Cleanly Separated

A trade expo does not have one kind of attendee. Trade visitors, exhibitor staff, delegates, press, organisers and contractors each need different floor access and a badge that says so at a glance. EventTitans held every category as a distinct badge design and access rule, so staff on a hall door could read entitlement off the badge without asking.

TBD: the exact badge category names used at HIMTEX 2026, and how many badges were issued in each.

Re-Entry Across Five Days

A five-day show is not five separate audiences. Buyers come back on day two and day three to close conversations they opened on day one. Badges stayed valid for the run of the show and re-entry was a single scan, which kept returning visitors out of the registration queue entirely and left the counters free for first-time arrivals.

Automated Visitor Communication

Confirmations, entry QR codes and show-day reminders went out over email and WhatsApp from the same platform that held the registration. Visitors arrived already holding the code that got them through the gate, which is the single biggest reason an entrance queue moves.

TBD: email and WhatsApp volumes sent for HIMTEX 2026, and delivery rate if available.

On-Ground Team

Software at an entrance is only as good as the people standing behind it. EventTitans staffed the registration counters, the badge printing stations and a help desk for the full run of the show, so a jammed printer or a mis-spelt name was corrected at the counter instead of escalating to the organisers.

TBD: size of the EventTitans on-ground team at HIMTEX 2026, and which counters and stations it covered.

Looking Ahead

HIMTEX 2026 adds a five-day industrial trade fair to the range of events running on EventTitans, alongside conferences, summits and multi-hall expos. The same registration, badging and check-in stack scales from a single-day summit to a week-long exhibition floor — which is what lets organisers plan the show rather than the queue.
